2. Roles and Responsibilities
2.1. Management
Management is responsible for:
- Providing leadership and resources to support health and safety initiatives.
- Ensuring all employees are trained in health and safety practices.
- Reviewing and updating the health and safety policy annually or as needed.
- Conducting regular risk assessments and implementing appropriate control measures.
- Ensuring compliance with all relevant health and safety legislation.
2.2. Employees
Employees are expected to:
- Take reasonable care for their health and safety and that of others affected by their actions.
- Comply with all health and safety training, instructions, and guidelines.
- Use equipment and PPE (Personal Protective Equipment) provided for safety purposes.
- Report any hazards, accidents, or near misses immediately.
- Cooperate with management in implementing and improving health and safety measures.
2.3. Contractors
Contractors are expected to:
- Follow all health and safety instructions and site-specific guidelines provided by LYL Inventories Ltd.
- Use PPE as required.
- Report any incidents or unsafe conditions to the designated health and safety contact.
2.4. Clients
Clients must:
- Ensure properties are accessible and safe for inspection.
- Inform LYL Inventories Ltd of any known hazards within the property before an inspection.
- Ensure that any hazardous materials, substances, or conditions are managed and disclosed to us.
3. Health and Safety Procedures
3.1. Property Inspections
- Risk Assessment: Inspectors are required to conduct a preliminary risk assessment upon arrival at each property, identifying any immediate hazards such as exposed electrical wiring, loose floorboards, or hazardous materials.
- PPE: Inspectors are provided with PPE, including gloves, masks, and protective footwear, as appropriate for each inspection. PPE must be worn as directed.
- Hazard Identification: Employees are trained to identify and report hazards such as structural damage, mold, or biohazards. If a hazard is identified, inspectors must halt the inspection and report it to management for further assessment.
3.2. Incident Reporting and Investigation
- Immediate Reporting: All incidents, including accidents, injuries, and near misses, must be reported to the designated health and safety officer within **24 hours**.
- Investigation: An internal investigation will be conducted for all incidents. Management will analyse causes, identify preventive actions, and implement improvements where necessary.
- Record Keeping: All incidents and investigations will be documented and maintained for future reference and regulatory compliance.
3.3. Emergency Procedures
- Emergency Contact Information: Employees must carry emergency contact information for each property they visit, including contacts for emergency services.
- Evacuation Procedures: Employees must identify potential exit routes and evacuation points upon entering a property. In case of an emergency, such as fire or gas leak, inspectors must follow the evacuation procedures and contact emergency services if necessary.
- First Aid: All inspectors are trained in basic first aid, and LYL Inventories Ltd provides first aid kits in company vehicles and at inspection sites.
4. Risk Assessments and Control Measures
4.1. Regular Risk Assessments
- LYL Inventories Ltd conducts annual risk assessments for typical inspection activities and property types to identify potential hazards. Control measures are implemented to mitigate identified risks.
4.2. Control Measures
Control measures may include, but are not limited to:
- Using PPE such as gloves and masks to prevent exposure to harmful substances.
- Limiting access to hazardous areas within a property.
- Implementing “no-entry” zones in areas with structural instability or severe mold.
4.3. Review of Control Measures
Risk assessments and control measures will be reviewed periodically and after any significant incident to ensure their effectiveness and applicability.
5. Training and Awareness
5.1. Employee Training
All employees receive training on health and safety protocols relevant to their role, including:
- Property inspection safety: Hazard identification, PPE usage, and emergency procedures.
- Incident reporting: Procedures for reporting and recording hazards, near misses, and incidents.
- First aid and emergency response: Basic first aid and evacuation procedures.
5.2. Ongoing Training
Additional training and refresher courses will be provided as necessary, particularly following incidents, updates to regulations, or changes in company procedures.
6. Client Responsibilities and Obligations
Clients must:
- Ensure that properties are in safe, habitable condition for our inspectors.
- Disclose any known risks such as asbestos, unstable flooring, or other hazards.
- Ensure that access to essential safety systems, such as fire alarms or emergency exits, is available.
If hazardous conditions exist, LYL Inventories Ltd reserves the right to postpone or reschedule inspections until the property is deemed safe.
7. Health Monitoring
Where job roles involve exposure to potential health risks, LYL Inventories Ltd monitors employee health, providing regular check-ups and support as necessary. This includes monitoring any symptoms related to prolonged exposure to certain hazards, such as mold.
8. COVID-19 and Infectious Disease Control
In light of ongoing health risks related to infectious diseases:
- Employees must follow company guidelines for hygiene, mask-wearing, and social distancing during inspections.
- Clients are asked to inform LYL Inventories Ltd if anyone at the inspection site is unwell or if there is a known risk of exposure to infectious diseases.
- LYL Inventories Ltd may reschedule inspections to safeguard employees and clients in the event of high infection risk.
9. Policy Review and Continuous Improvement
This Health and Safety Policy will be reviewed annually or following any significant incident, regulatory change, or feedback from employees or clients. Improvements will be made as necessary to enhance the safety and wellbeing of everyone involved in our operations.
